Manpower rate calculator (per post, per month)
A manpower rate per post is the monthly wage (basic + VDA) plus a 1/6 reliever for 7-day posts, employer PF 13%, ESI 3.25% and bonus 8.33% on those wages, uniform, and your service charge. GST at 18% is added on the total bill.

How is it calculated?
- Wages = basic + VDA for the month. If you enter a daily wage, it is multiplied by the working days (26 by default).
- Reliever = wages ÷ 6, for posts covered every day of the week.
- PF, ESI and bonus are percentages of wages + reliever. ESI is zero when the monthly wage is above ₹21,000.
- Subtotal = wages + reliever + PF + ESI + bonus + uniform.
- Rate per post = subtotal + your service charge on the subtotal.
- Total = rate per post × number of posts, then GST is added on that total. Every line is rounded to the paisa once.
Worked example
One 7-day post, basic ₹15,000 + VDA ₹3,000 a month, uniform ₹500, service charge 10%:
| Wages (₹15,000 + ₹3,000) | ₹18,000.00 |
|---|---|
| Reliever (÷ 6) | ₹3,000.00 |
| PF 13% of ₹21,000 | ₹2,730.00 |
| ESI 3.25% of ₹21,000 | ₹682.50 |
| Bonus 8.33% of ₹21,000 | ₹1,749.30 |
| Uniform | ₹500.00 |
| Subtotal | ₹26,661.80 |
| Service charge 10% | ₹2,666.18 |
| Rate per post, per month | ₹29,327.98 |
| GST 18% | ₹5,279.04 |
| Total with GST | ₹34,607.02 |
Frequently asked questions
Why add 1/6 for a reliever?
Every staff member is entitled to a weekly day off. A post that must be covered all seven days therefore needs seven duties a week from people who each work six, so you need one extra person for every six posts. Most tenders show this as "relieving charges" at 1/6 of wages.
Is PF calculated on the full wage?
This calculator applies PF to the full basic + VDA (plus the reliever share). The EPF wage ceiling was raised from ₹15,000 to ₹25,000 a month from 17 September 2026 (PIB, Ministry of Labour). If your contract caps PF at the ceiling, lower the PF % so the amount matches, and check with your CA.
When does ESI not apply?
ESI covers staff whose wages are up to ₹21,000 a month (₹25,000 for persons with disability), per ESIC (esic.gov.in/coverage); the employer rate is 3.25% and the employee rate 0.75% (esic.gov.in/contribution). Above the limit there is no contribution, so the calculator drops ESI automatically when the monthly wage is above ₹21,000.
What wage is the 8.33% bonus worked out on?
Under the Payment of Bonus Act as amended in 2015, staff earning up to ₹21,000 a month qualified, and bonus was worked out on ₹7,000 or the minimum wage, whichever is higher (PIB, January 2016). The Code on Wages, 2019, in force since 21 November 2025, keeps the 8.33% minimum and sets these limits by notification. Many tenders simply apply 8.33% to basic + VDA, which is what this calculator does. Check the current limits with your CA.
Should I charge GST on manpower supply?
Manpower and security services are normally taxed at 18% GST. For security services supplied by an individual or firm (not a company) to a registered business, the client may have to pay the GST under reverse charge instead. Ask your CA which applies to your contract.
Which minimum wage should I use?
Use the rate your state notifies for the category of work (for example security or housekeeping), the skill level and the zone where the site is. Most states revise the VDA twice a year.
