Attendance and billing software for security agencies

HaazriPro is attendance and billing software for security agencies. At each post, the supervisor taps each security staff member's face photo on a grid to mark them present, late, half-day or absent, even with no network. At month end you get the salary sheet (days + overtime − advances) and a bill for each client site (staff-days × your agreed rate), ready to share on WhatsApp.

What goes wrong with attendance at a security agency?

A security agency is a business of many small posts. Two people at a bank branch, four at a housing society, eight at a warehouse with a day and a night shift. Supervisors move between sites on a two-wheeler, and the attendance for all of them ends up in a register, a WhatsApp group, or a supervisor's memory. That is where the money leaks:

  • Similar names, wrong rows. Your rolls have a Ramesh, a Rakesh and two Sureshes. A tick in the wrong row pays the wrong person, and the person who actually stood the shift complains on payday.
  • Relievers and night shifts. Weekly offs on 7-day posts are covered by relievers who move from post to post. They are the first people to go missing from a paper register.
  • Back-filled registers. A register filled in on the 28th from memory is a guess, and the client's site in-charge knows it.
  • Bills the client disputes. If you cannot show who stood which post on which day, the client deducts first and asks later.
  • Month end takes days. Someone in the office retypes every register into Excel, adds up days and overtime, subtracts advances, and then builds a bill per client.

Why tap a face instead of location selfies or face recognition?

Most security attendance apps ask each staff member to take a location-tagged selfie on their own phone, or put a face-recognition device at the gate. Both assume every post has a smartphone, battery and signal, and that staff will use them. In HaazriPro the supervisor marks the post: one phone, a grid of faces, one tap each. Staff need no phone of their own, a basement post with no network still gets marked and syncs later, and no biometric data is collected. The trade-off is that you trust the supervisor's eyes; the time stamp on every mark and the late-marking audit show when a register was filled in after the fact. Compare the options in face photo vs face recognition and biometric machine vs phone app.

How does HaazriPro fit a security agency's day?

  1. Add each staff member once, with a photo taken on the phone. Supervisors can add new joiners and assign them to the sites they look after.
  2. Assign staff to a site and shift, for example day or night at a warehouse. Assignment decides whose faces appear on that site's grid.
  3. At shift start, the supervisor opens the site and taps faces. Present, late (with the time in), half-day, paid leave, overtime, absent, or transferred to another post. Each status has its own colour, so the grid is readable at a glance in sunlight.
  4. No network at the post? The marks are saved on the phone and sync when the phone is back online. Nothing is lost in a basement car park.
  5. At month end, the owner opens the salary sheet and the billing report on the web panel, exports them, and shares PDFs on WhatsApp.

HaazriPro is not face recognition. There is no camera scan and no biometric data. The supervisor looks at the person in front of them and taps their photo, so the mark lands on the right person even when two names are the same.

How does it handle day and night shifts and relievers?

Each site can have its own shifts, such as a day and a night window. Staff are assigned to a site and shift, so the night supervisor sees only the night faces. A reliever covering weekly offs is simply assigned to the posts they cover, and a staff member moved to another post mid-month is marked transferred at the site they left. A person can be present at only one place at a time, so the same staff member is not counted twice on one day.

How does billing work for security contracts?

Each site carries the billing rate per staff-day you agreed with the client. The billing report multiplies the staff-days actually worked at that site by that rate, for the month. Because every staff-day comes from a mark made at the post, you can show the client exactly which days were covered. To work out the rate itself, use the manpower rate calculator, which adds the 1/6 reliever for 7-day posts, PF, ESI, bonus and your service charge.

On GST: security services supplied by an individual or firm (not a company) to a registered business usually fall under reverse charge, where the client pays the GST. A company charges GST itself. Check the treatment of each contract with your CA. Our guide to billing a client for manpower explains it with an example.

Does it help with PSARA records?

The Private Security Agencies (Regulation) Act asks agencies to keep a register of their security staff and supervisors with photographs and salaries, and to issue photo identity cards. HaazriPro keeps a photo, the site assignments and the monthly salary for every staff member, which is the information that register draws on. It does not file anything with the Controlling Authority for you. Our PSARA licence guide covers the licence, the documents and the fees.

What does it cost?

One flat price, however many posts you run: ₹499 a month, or ₹349 a month billed annually, for up to 500 staff with unlimited supervisors and sites. There is a 30-day free trial with no card.

Which free tools and guides help security agencies?

Frequently asked questions

Is this face recognition?

No. The supervisor taps the staff member's photo on a grid. There is no camera scan at marking time and no biometric data is collected or stored.

Will it work at posts with no mobile signal?

Yes. Attendance is saved on the phone first and syncs when the phone is back online, so basements, godowns and remote posts are not a problem.

Can a supervisor handle several sites?

Yes. Each supervisor is assigned the sites they look after and sees only those sites' grids. You can have as many supervisors and sites as you need.

How do relievers and night shifts work?

Each site can have day and night shifts, and staff are assigned to a site and shift. A reliever is assigned to the posts they cover, and a staff member moved mid-month is marked as transferred.

Can I see if a register was filled in late?

Yes. Every mark records when it was made, and the owner's back-fill audit shows marks recorded after the day they are for.

What phone do supervisors need?

A basic Android phone is enough. HaazriPro is built for low-cost phones used one-handed, outdoors.

Can I bring my existing staff list?

Yes. Owners can import a staff roster from Excel on the web panel, and our team can load an existing attendance sheet for you.
