How is it calculated?

  1. Staff-days × rate per staff-day.
  2. Overtime = overtime hours × overtime rate per hour.
  3. Taxable value = staff-days amount + overtime.
  4. GST = taxable value × GST %. Total bill = taxable value + GST.

5 staff, 26 days each, at ₹750 a staff-day, plus 20 overtime hours at ₹94 an hour, with 18% GST:

Frequently asked questions

What is a staff-day?

One staff member on duty for one day. Five staff each working 26 days is 130 staff-days. A half-day is 0.5 of a staff-day.

What if my client pays a monthly rate per post?

Divide the monthly rate per post by the number of days that post is manned in the month: 26 for a six-day post, or the days in the month for a post manned every day. Dividing a seven-day post's rate by 26 overstates the staff-day rate by about a sixth. The manpower rate calculator shows the correct figure.

Do I charge GST on a security services bill?

Usually 18%. If you supply security services as an individual or firm (not a company) to a registered business, the client may pay the GST under reverse charge; then enter 0% here and mention reverse charge on the invoice. Confirm with your CA.

Should overtime be billed separately?

Only if your contract says so. Many contracts bill overtime hours at an agreed hourly rate; others fold it into the staff-days.
