Attendance, salary and billing software for manpower agencies

HaazriPro is attendance, salary and billing software for manpower and staffing agencies. Supervisors at each client site tap each staff member's face photo to mark attendance, even offline. The month then closes itself: a salary sheet per staff member with advances deducted, and a bill per client site built from staff-days × the rate you agreed with that client.

Why is month end so hard for a manpower agency?

A manpower agency supplies people to many clients at once: helpers to a factory, loaders to a warehouse, office boys to a bank, data-entry staff to a back office. Each client has its own site, its own rate and its own way of checking your bill. Your staff are daily-rated or on a monthly salary, some take advances, and some move between clients in the middle of the month. All of that has to meet in one place on the last day of the month, and usually that place is a spreadsheet someone rebuilds from scratch.

  • Attendance arrives in many formats. A register from one site, a WhatsApp photo of a sheet from another, a phone call from a third.
  • Names collide. Large rolls of unskilled and semi-skilled staff have many similar names. A mark against the wrong row becomes a wrong salary and a wrong bill.
  • Advances get lost. Cash handed over at a site is remembered at payday, or not.
  • Bills are built from salary workings. So every salary mistake becomes a billing mistake, and the client finds it.
  • Nobody knows which client makes money. Without wage cost per site, a low-margin contract looks the same as a good one.

How does HaazriPro fit a manpower agency's workflow?

  1. Set up each client site with its client name and the billing rate per staff-day you agreed.
  2. Add staff once, each with a photo, a daily rate or a monthly salary, and assign them to the site they work at. Supervisors can add joiners and assign them to their own sites.
  3. Supervisors mark attendance by tapping faces on the site grid: present, late, half-day, paid leave, overtime, absent or transferred. It works offline and syncs later.
  4. Record advances in the ledger when you hand them over.
  5. At month end, open the salary sheet and the billing report, export them and share on WhatsApp.

HaazriPro is not face recognition and collects no biometric data. The supervisor sees the person and taps their photo, which is quicker than finding a name and removes name mix-ups.

What does an agency get?

  • Attendance by face photo

One grid per client site and shift, marked by tapping faces.

  • Daily and monthly wages

Pay daily-rated staff by days worked and salaried staff by the month.

  • Salary sheet with advances

Days, half-days and leave, with overtime hours recorded and added to the sheet, minus advances.

  • Billing per client site

Staff-days × the agreed rate, with the attendance behind every line.

  • Site profit and loss

Billing minus wage cost for each site, worst-performing sites first.

  • Excel roster import

Bring your existing staff list in from Excel instead of retyping it.

  • Offline on basic phones

Marks save on the phone and sync when the network returns.

  • 9 languages

Supervisors can work in their own language.

How does billing many clients work?

Every site carries its own billing rate per staff-day. The billing report counts the staff-days actually worked at each site in the month and multiplies by that site's rate, so one month's attendance produces a separate, provable bill for every client. A half-day counts as half a staff-day. When a staff member moves from one client to another mid-month, the day they move is marked as transferred at the site they left, so each client is billed only for the days it received.

GST on manpower supply is normally 18%. Reverse charge applies to security services in some cases, not to general manpower supply, so check how each contract is taxed with your CA. Our guide to billing a client for manpower walks through a full example, and the free manpower bill format does the arithmetic in Excel.

Which contracts actually make money?

Because wages and billing come from the same attendance, HaazriPro can put them side by side. The site profit and loss report shows, for each site and month, what you billed, the wage cost of the staff who worked there, and the margin, with loss-making sites listed first. That is the number to look at before you renew a contract or accept a rate cut.

Do you need a contractor licence?

Under the central rules notified in 2026 under the Labour Codes, a contractor needs no licence up to 49 contract labour. Above that, a licence is needed. Most private contracts are under state rules, so check the threshold that applies to you with your labour consultant. Our guide to the labour contractor licence explains who needs one and how to apply.

How do you get started?

  1. Sign up and add your client sites with each client's agreed rate per staff-day.
  2. Import your staff list from Excel, or add staff one by one with a photo taken on the phone.
  3. Invite your supervisors and assign each one the sites they look after.
  4. Run one month in parallel with your current register, then compare the salary sheet and the bills.

Most agencies start with one or two client sites, check the first month's figures against their old sheet, and then move the rest. Your supervisors need only a basic Android phone and a few minutes to learn the grid.

What does it cost?

₹499 a month flat, or ₹349 a month billed annually, for up to 500 staff across unlimited clients, sites and supervisors. Try it free for 30 days with no card.

Which free tools and guides help manpower agencies?

Frequently asked questions

Can I bill different clients at different rates?

Yes. Each site has its own billing rate per staff-day, and the billing report works out each site separately.

Does it handle both daily-wage and monthly-salary staff?

Yes. Daily-rated staff are paid for the days they worked; monthly staff are paid their salary less unpaid days, and a change of rate mid-month is handled day by day.

What happens when a staff member moves to another client?

They are marked as transferred at the site they left and assigned to the new site, so each client is billed only for its own staff-days.

Is this face recognition?

No. Supervisors tap a staff member's photo on a grid. No camera scan, no biometric data.

Can I add bonus or allowances?

Yes. Owners can record earnings such as bonus and allowances, and deductions, for each staff member; they flow into the salary sheet.

Does HaazriPro file PF and ESI returns?

No. HaazriPro keeps attendance, salary and billing records. Statutory filings stay with you or your consultant.
