Offline attendance for sites with no network

Offline attendance means the supervisor can mark staff at a site with no mobile network, and the marks are saved on the phone and sent to the office automatically when a signal returns. The two tests of a real offline method: the supervisor never waits for the network, and a mark sent twice never becomes a duplicate.

Which sites have no network?

More than most office software assumes. This guide is part of our contract staff attendance guide, and the sites where attendance breaks down are usually the same ones:

  • basement parking and underground service areas in malls and housing societies;
  • construction sites, especially new buildings and lower floors;
  • warehouses and factory sheds with metal roofs;
  • remote posts: pumping stations, highway sites, farmhouses, towers;
  • any site where the supervisor's prepaid data ran out on the 25th of the month.

If your attendance method needs the internet to save a mark, these sites quietly go back to paper. Then the paper register has to be retyped, and the errors come back with it.

What does "works offline" really mean?

Many apps say they work offline. In practice there are three levels, and only the last one is enough for a contract site:

LevelWhat happens with no signalGood enough?
Online onlyThe app shows an error or a spinner; nothing is savedNo
Retry laterThe mark is held briefly and lost if the app is closed or the phone restartsNo
Offline-firstThe mark is saved on the phone first, the screen updates at once, and it syncs whenever a signal returns, even days laterYes

Ask a vendor to show you: put the phone in airplane mode, mark ten staff, close the app, restart the phone, then switch the network back on. Every mark should arrive at the office, once.

How does offline-first attendance work in HaazriPro?

The app keeps two things on the supervisor's phone:

  1. A local copy of what the supervisor needs: their sites, the staff assigned to each, and recent attendance. The face grid is drawn from this copy, so it opens instantly with or without signal.
  2. An outbox: a queue of marks not yet confirmed by the server. Every tap goes into the local copy and the outbox immediately, and the grid updates straight away.

When the phone gets a signal (the app checks on reconnecting, when it is opened, and on a timer), it sends the outbox to the server and pulls down any changes. The supervisor sees simple states: saved on the phone, waiting to sync, or synced. There is never a spinner blocking the grid.

Why can't offline marks create duplicates?

This is the part that goes wrong in home-made solutions. Imagine the phone sends a batch of marks, the signal drops halfway, and the app sends the batch again. A careless system now has two "present" marks for the same person on the same day, and pays them twice.

HaazriPro avoids this by design. Each mark is identified by who, where and which day: the staff member, the site and the date. The server keeps exactly one mark for each such combination. If the same mark arrives twice, the second one simply replaces the first. A worker can still have one mark per site on a day, for example "transferred" at the site they left and "present" at the site they joined.

Worked example: a basement post with no signal for a week

A housekeeping supervisor covers a mall's basement and upper floors. The basement has no signal. For six days she marks her 14 staff at the start of each shift, in the basement:

DayWhat she doesWhat the office sees
Mon–SatTaps 14 faces each morning; grid shows the marks instantlyNothing yet, the phone has had no signal
Sat eveningWalks up to the ground floor; phone gets a signalAll 84 marks arrive and are recorded
SundayPhone syncs again on opening the appNo change: the same marks are not added twice

One thing to know: HaazriPro records the time a mark reaches the server, so these 84 marks will show the owner's "marked late" flag, exactly as if they had been filled in on Saturday. At a site you know has no signal, that flag is expected. Elsewhere it is worth a question; see our guide on catching back-filled attendance.

What if two people mark the same staff member offline?

At most sites only one supervisor marks a given staff member, so this is rare. If it does happen, for example a relief supervisor and the regular one both mark the same person while offline, the server keeps one mark for that person, site and day, and the most recent mark wins. Agree who marks which site, and the question does not come up.

What should you do at sites with no network today?

  • Mark at the site, at the start of the shift, even if the phone cannot sync. A mark made on time and synced later is far better than a mark made late.
  • Sync once a day: ask supervisors to open the app where there is a signal, at lunch or on the way home.
  • Watch the outbox: if a supervisor's phone has not synced for several days, call them before month end, not after.
  • Keep the codes the same at every site; see attendance codes explained.
  • If you are on paper, keep one sheet per site in a fixed layout, like our monthly attendance sheet, so it can be entered or imported cleanly.

Does an offline record count as a proper register?

For establishments under the central government, the 2026 central rules under the Labour Codes allow registers, including the attendance register-cum-muster roll in Form XIV, to be kept electronically. Establishments under a state government follow their state's rules. An offline-first app that stores every mark per staff member, per day and per site can produce that record; what matters is that the record is complete and kept for the required period.

This guide explains the rules in plain language. It is not legal or tax advice. Laws and rates change, so check the register rules for your sites with your labour consultant before you act on it.

Attendance that works with no signal at all

Supervisors mark attendance by tapping each staff member's face photo, even offline. The salary sheet and the client bill are ready at month end.
